Description
A calm, practical handbook for using an AI assistant to get the way work is really done out of people's heads and onto paper: standard operating procedures (SOPs), checklists, quick cards and onboarding guides for a small business. It is the third deep-dive title in the Prompt the Prompt series. You don't need the general handbook to use it.
The method keeps the assistant honest. It interviews the person who does the job, organizes what they say, and drafts only from your notes and the official rules you paste in. Every gap stays visible as an [ASK EXPERT], [CHECK RULE] or [DECISION NEEDED] placeholder instead of being filled with a confident guess. Then a new person tests the draft while someone watches, and four reviews in fresh chats check it for clarity, completeness, safety and compliance against the pasted rule text, and failure modes. At the end the procedure gets an owner, a version and a review date.
A running example follows a neighborhood café writing down its closing routine, which until then lived in one barista's head. Chapter 17 then works through three more examples: a two-person repair crew (arriving at and leaving a customer's home), a small bookkeeping office (setting up a new client) and an online shop selling handmade ceramics (packing orders and handling returns).
What is inside (81 pages US Letter / 79 pages A4)
- Read this first: what the book is and isn't, and which steps should be written with, and signed off by, a qualified person.
- Part One, Before you write: five kinds of operations document (procedure, work instruction, checklist, onboarding guide, policy); what assistants do well with procedures and where they go wrong (invented steps, generic "best practice", confident safety content, lost expert cues); choosing what to document first with a simple score; a process folder that keeps codes, customer details and staff records out of the chat.
- Part Two, Capturing the real work: the expert interview (questions that find the cues and exceptions); watching the work and collecting the notes, labels and manuals that already exist; lining up "said, seen and written"; a one-page process map with start, end, roles, decisions and exceptions.
- Part Three, Writing it down: choosing a format (numbered list, role table, decision flow, checklist, onboarding plan) and thinking about where it will be read; drafting with placeholders and step-writing rules; read-do and do-confirm checklists and quick cards; first-month onboarding guides with sign-offs.
- Part Four, Testing and review: testing with someone who has never done the job; clarity and completeness reviews; a step-by-step check against official rule text you collect yourself, with every finding verified by a person; failure modes and a bad-day test.
- Part Five, Keeping it alive: owners, review dates, triggers and change logs; improving the process one measured trial at a time; four workplaces, start to finish.
- Appendices: A, 22 copy-ready prompts; B, checklists for every stage; C, folder templates (brief, notes, map, rules, decisions, test log, review log, handoff, change log); D, 10 printable SOP pages; E, glossary. Then sources and notes.
The printable SOP pages (Appendix D)
Ten blank, fill-in pages to print as often as you need: process inventory and scoring, procedure cover sheet, interview notes, procedure steps, role table, decision flow, checklist, onboarding sign-off, test log, and review and change log. They are also supplied as a separate PDF in each paper size, so you can print them without the rest of the book.

Good to know
- Not legal or safety advice. The book is educational. It does not state the food safety, workplace safety, electrical, gas, chemical, employment or data protection rules of any place or trade, and it does not promise fewer mistakes, faster work, lower costs or a passed inspection. Where a step depends on a rule, it shows you how to find the official text and recommends that a qualified person checks the steps that involve dangerous work, hazardous substances, food safety controls, employment, personal data or money.
- Not ready-made SOPs. The examples are short excerpts that show the method; they are not procedures to adopt as they stand. The printable pages are blank.
- Works with any AI chat assistant and names no products. Written in US English for small businesses anywhere; the method is not specific to any country.
- One cited study (a 2009 medical journal study of a surgical safety checklist) was checked in November 2026. It is named only to identify it; Mothleaf has no affiliation with its authors or publisher and is not paid by them.
- Personal use: copy and adapt the prompts, checklists, templates and printable pages in your own work, including at your job and in your business. Please don't resell or share the book itself.
